HKCS Annual General Meeting on 6th June 2022

Dear Members

Hope you are all well and safe. I am pleased to invite you to attend the 2021 Annual General Meeting (the "AGM") of Hong Kong Computer Society ("HKCS"), which has been scheduled as follows:

Date: 1st June 2021 (Tuesday)

Time: 6:30 p.m. (registration will start from 5:45 p.m.)

Venue: Theatre 1, Hong Kong Productivity Council, 78 Tat Chee Avenue, Kowloon Tong, Hong Kong

The business to be dealt with at the AGM is presented in the attached Notice of Annual General Meeting.

As a Distinguished Fellow, Fellow or Full Member, you are kindly requested to attend and cast your vote at the AGM. However, if you are unable to be there in person, you are encouraged to appoint a proxy to vote on your behalf, by returning the enclosed proxy form to HKCS office not later than 30th May 2021 6:30 p.m., via email (membership@hkcs.org.hk), fax (2834 3003) or by post.

Members’ Verification

In order to verify members’ identity and maintain the integrity and fairness of the election, members are required to show HKCS membership card / HKID when they attend in person at the AGM.

Remember to Reserve Your Seat at the AGM

If you wish to attend the AGM in person, please complete the online Reservation Form here by 6:00 p.m. on 30th May 2021.

Special Arrangement in Light of the COVID-19 Pandemica. Members are requested to consider carefully the risk of attending the AGM, which will be held in an enclosed environment.

b. Members are requested not to attend the AGM if they have contracted or are suspected to have contracted COVID-19 or have been in close contact with anybody who has contracted or is suspected to have contracted COVID-19.

c. Mandatory screening of body temperature would be performed onsite at the registration counter prior to the start of the AGM. Members with a body temperature above 37.5 degree Celsius or who exhibits flu-like symptoms may be denied entry into the AGM venue and be requested to leave.

d. Members must wear surgical face masks before entering the AGM venue and, throughout the course of the AGM. Members will be asked to leave the venue if no face mask is worn at any time during the AGM.

e. Appropriate distancing and spacing will be maintained between each attendee at the AGM venue to avoid overcrowding. All attendees are advised to maintain appropriate social distance with each other at all times when attending the AGM.

f. Special seating arrangement would be made to maintain appropriate physical distance among AGM attendees. As a result, there will be limited capacity for Members to attend the AGM on a first-registered-first-served basis.

g. No food, drinks or other refreshments will be served or allowed at the AGM.

h. Members attending are requested to observe and practice good hygiene at all times at the AGM venue. HKCS may request any person to leave the AGM venue if his/her action puts the health and safety of other persons at risk (e.g. his/her attendance goes beyond the maximum capacity of the venue).

Arrangement in Case of Typhoon and Black Rainstorm Warning in Force

The AGM would be postponed in case of Typhoon Signal No. 8 (or higher) or Black Rainstorm Signal is in force at any time from 12:00 noon to 7:00 p.m. on 1st June 2021. An email would be sent to members as soon as possible advising the rescheduled date, time and venue of the AGM 2021. Announcement of AGM arrangement would also be published on the HKCS website (www.hkcs.org.hk).
